Information about our stand

Information about your stand; stand number and size etc is documented in the booking confirmation email sent to the company's primary contact person. The email  is sent with the title caption "Booking confirmation:  Company name". If you need this information again, please contact myynti@lovemedo.fi.

Each exhibitor has received the terms & conditions attached to the confirmation email. A booking fee (50% of the stand price) is sent by email after the confirmation. The booking fee is deducted from the final stand invoice, but it will not be returned if the participation is cancelled. 

The stand includes:
The agreed upon size exhibitor space at Merikaapelihalli, electricity and wifi, BUT NO CARPETING, FURNITURE, HEADBOARDS or DIVIDER WALLS - excluding some mentioned ready build spaces.

Information on stand build and furniture can be found below. The only mandatory element is carpeting.

The layout of the show can be found at the exhibitor info and at varaamo (stand information in Finnish).

Accessibility

  • You may find Kaapelitehdas' own accessibility information here.
  • For access from Lasipiha (main entrance) to Merikaapelihalli (show area) by elevator, please ask assistance from Love me do crew at ticket sales or cloakroom.
  • During builing and dismantling the doors in use are M1 by the sea and M6 loading bay (Tammasaarenkatu). Both entrances have a ramp, but it is relatively steep and wheelchair users might need assistance. 
  • Access to upstairs is through the stairway D elevator, in the middle of the show hall. During the show, please ask for assistance from Love me do crew, as the elevator opens to the backstage of the fashion show and can only be accessed accompanied.
  • An accessible toilet is situated also by the stairway D, middle of the show hall, under the canopy.
  • Please feel free to ask assistance from Love me do crew at any time.

Activities at your own stand

Please notify us of any planned program or activities at your own stand, as early as possible media@lovemedo.fi.
We especially wish to hear about any activities or special fair offers before hand, so that we may include this information on the announcements done by our host at the show.

These activities and programming may include things like offering services or treatments (hairdos, make up etc.), personalizing products, extra special raffles or offers, scheduled programming such as a speaker at the stand, presentations, tastings and interactive activities.

Arrival on show days

Venue opens for exhibitors on Saturdays at 08:00. On a two day show, venue opens for exhibitors on Sundays at 09:00. 

Entrance to the venue prior to the show opening is through the M6 loading bay (Tammasaarenkatu).

During opening hours exhibitors may enter through the main entrance M5 ticket check by using the vendor ticket received prior or with their vendor pass.

PLEASE NOTE: During the show door M6 will be closed and not to be used, other than for emergency exit only.

Building your stand

Building the stands takes place the Friday prior to the show at 16-20 (building day) and on Saturday morning at 08-09. 
All stand and table setting competition tables should be ready built at 09:00 on show day's morning.

Please note that coming to build before the allocated time is not allowed. Building stops at 20:00 on Friday when vendors must leave the venue and can't be continued until  the next morning.

During building the show hall Merikaapelihalli is accessible ONLY through door M1 (Tammasaarenlaituri 6, by the water) and the loading bay M6 (Tammasaarenkatu). When arriving for the first time, please present your vendor ticket sent to you prior and it will be exchanged to a vendor pass that you should keep visible at all times. 

It is not allowed to drive cars inside the hall, possible off-loading will preferably happen on the street by the loading bay ramp. Exhibitors may use the loading bay for off-loading with a first come first serve principle, however it is important that the loading dock is kept as empty as possible (no parking cars there). We highly recommend off-loading and packing without driving the car on the ramp, it saves everyone's time! If you absolutely need to drive on to the ramp, be quick, empty your stuff by the inner wall, move your car and only then come take your stuff to your stand.

Exhibitors can drive in the show hall Merikaapelihalli during the build up on Friday morning or on Thursday on special permission only. This needs to be agreed with the organizer in advance, so that it doesn't interrupt any off-loading or already built structures. In case an exhibitor is receiving stand materials on a pallet that can not be picked up before Monday after the show, this needs to be agreed upon in advance with the organizer.

Each exhibitor is responsible for their own building and dismantling, decoration and cleaning after them.

Dismantling after the show

Dismantling the stands starts directly after the show is closed for visitors.

Attention! Please note that it is not allowed to start dismantling before the show is closed for visitors. Breaking this rule will result in a 500€ fine from the organizer.
The show hall will have visitors during the last hour of the show, up until closing. There also will be visitors who have purchased a happy hour ticket for the last two hours of the show. Any kind of visible dismantling and packing is forbidden until the host has declared the show has ended. We have received feedback about this matter from customers - on how dull this feels while there's still time to go around - and will be paying special attention on this during this season.

No exhibitor property is allowed to be left at the site after dismantling. The organizer is not responsible for any exhibitor property left behind.

The loading bay M6 on Tammasaarenkatu
The traffic at the loading bay will be controlled by Love me do crew, cars may not be driven on the loading ramp without permission from crew. During dismantling all the items will be brought near the loading bay first, and then packed in the car when it is your turn. Cars can only stay on the loading ramp while immediate packing. Door M1 is also in use during dismantling.

Please note that driving in the courtyard is no longer possible since Lasipiha (main entrance to Kaapelitehdas) has been built. Doors M3 and M4 are kept closed at all times.

Electricity

All stands are equipped with an electrical soccet. We recommend you bring your own extension cords.

Merikaapelihalli is lit by general fluorescent lamp lighting, which is situated at 14 m high in the main hall and at 6 m under the side areas. The general lighting is quite poorly, so we recommend extra lighting, in the form of spotlights or floor lamps.

Environment fee

An environment fee will  be added to all stand prices. With this we will cover the event's waste costs, including sorting and recycling, as well as printing, signage and vendor pass costs.

The environment fee is 10-20€ + vat per stand depending on the size of the stand.
4-5m2 stands 10€ + vat
6-9m2 stands 15€ + vat
10m2-> stands 20€ + vat

Fashion shows

Please email our catwalk producer Heidi Sjöberg heidi@lovemedo.fi to discuss taking part in the fashions shows. Enrolling in the catwalk shows for Autumn Fair 2025 must be done before 1.9.2025.

All exhibitors with suitable products may take part in the fashion shows by lending their products at no cost. There is also options for more elaborate participation and even your own catwalk shows with an added fee. Please inquire for those options from Heidi or myynti@lovemedo.fi.

Food at the show

Complementary coffee and tea are served for exhibitors at the exhibitor break room by the main entrance. 

Lunch can be purchased from vendors at the event serving food, they will be mentioned in the event announcements. 

In addition, Kaapelitehdas' own restaurant Hima & Sali is serving lunch from 12:00 onwards on weekends.

Goodiebags & prizes

Companies may sponsor products to goodiebags given out at the event or prizes (products or service gift cards) for competitions and raffles organized by Love me do.

Goodiebags may be given out to influencers, VIP invitees, media representatives, competition judges and VIP ticket holders.

Competition prizes may include prizes for winners in our traditional yearly competitions, such as Wedding company of the year, Wedding dress designer of the year, etc. We're also hosting several raffles each show, at the show or online, where a prize is raffled among voters for example.

Sponsors get extra visibility as they are marketed along side the subject. Depending on the subject at hand visibility may include exposure during the event, on social media (Instagram & Facebook) before and after the event, and possibly in articles online at lovemedo.fi. How to plan a good stand

Make your space as open as possible, for the visitors to be able to step inside your space to talk, instead of standing on the busy corridor. For a quality contact and conversation with potential customers, it's always better to have them in your space, rather than on the corridor being pushed around. Set your furnitures and props in a way customers can step in. Use larger items in the back of the space, for example don't set up tables on the front near the corridor, between you and the visitors. Use all of your alloted space both depth and width wise and create a calm space for you and potential customers to have conversations.

Please note that it is prohibited to put carpet or furniture on the border tapes, as they are removed when the spaces are ready.

It is important to make sure you are not leaving any permanent marks on walls or structures of the old cable factory when decorating or hanging your own structures, same goes for the rented furniture and stand build. Please be mindful of this especially is attaching something to the floor. Only acceptable adhesives are blu-tack or any tape with weak adhesive glue. Feel free to ask for us for advice, we're happy to help!

Mind your neighbours when building your stand
If your stand is sharing a border with a neighbour without white wall paneling in between, please make sure the materials  you are planning to use facing that border are mindfull of your neighbour too. For example a white curtain hung on the frame is suitable for all  parties, but a bright orange curtain visible on the neighbour's side is not. We encourage exhibitors to be in contact with their neighbours in advance, if you're planning on setting up things on the border visible to your neighbour. We are happy to inform you about your neighbours if needed. Thank you!

SPECIAL NOTES:

In case there's a fire extinguisher located in your stand, please make sure it is available and ready to grab for use in case of an emergency.

Live candles are not allowed in Merikaapelihalli, please you LED candles.

Merikaapelihalli's black curtains are to be kept OPEN at all times. Closing the curtains is prohibited on the window stands as well as between the columns, because the space should be kept as well lit as possible during daylight hours. Also the airconditioning works better with the curtains open. 

Marketing for exhibitors

  • Each company is added to the exhibitor list online (name, stand number).
  • Companies are mentioned in posts by industry on Love me do's social media (IG & FB).
  • Companies themselves can post their introductions on the Facebook event created for the show.
  • We will share companies' stand program and fair offers on our Instagram prior to the show, when possible according to our resources. Check details below.

Social Media
We highly recommend you to take advantage of our Facebook events created for each fair. All exhibitors can post their own event news there freely - offers, raffles, all fun stuff.

When posting on social media, please tag us @lovemedofi and use the suggested hastags. This enables us to see your posts better and we may be able to repost them. Using joint hastags also promotes visibility and positive activity for everyone involved.

Parking

Kaapelitehdas offers limited parking space; some building side and roadside parking is available (see Kaapelitehdas site), but we recommend using the Ruoholahti department store  parking building or Aimo Park close by.

During building and dismantling you may leave your car close to the exits (doors M1 and M6 loading bay), but only for a few minutes. When ever you park on a slot near the building, please read the parking signs carefully! The area is notorious for parking tickets and that should be considered. It is allowed to park on the street (NOT in a marked parking spot) for 15 minutes during loading without fees. When parking on a marked parking space, please check the directions and parking fees carefully.

Unfortunately Love me do can't offer parking space for exhibitors, nor will LMD be responsible for any parking  tickets. Always check current parking information at the location and through Kaapelitehdas information above.

Partner tickets for your clients

Do you wish to offer event tickets to your partners or valued clients?
We offer exhibitors the opportunity to purchase partner tickets to the events for 10€/pc (+ Biletti service fee, vat included) 

If you would like to purchase partner tickets please contact us myynti@lovemedo.fi with how many tickets you would like and we will provide a personal link to complete the purchase. Tickets will be sent by email, so they are easy to forward. Advance ticket sales ends the Friday prior to the show at 20:00.

Pictures to use on social media - "Olemme mukana"

We offer promotional pictures and banners for exhibitors to use on social media prior to the show. Exhibitors may use these pictures freely to promote their participation to Love me do wedding show. Please select the correct size picture for each forum, so that the quality of the picture doesn't suffer.

Please contact us myynti@lovemedo.fi if you wish to have print quality material, for example to your company premises.

Security

There will be a number of security officers at the event required by authorities. The organizer has a general liability insurance for the duration of the event, but it does not cover any damages to exhibitor property unrelated to the organizer's actions. Each exhibitor is responsible for insuring their own property as they see fit.

The organizer is monitoring entrances M5 (main entrance) and M2 (seaside end, C lobby) during opening hours. During building and dismantling crew will check vendor passes by doors M6 (loading bay) and M1 (seaside entrance). 

During the night between building day and show day, as well as Saturday and Sunday on a two day event (in January) an electronic alarm system will be set on during the night between event days. Exhibitors may leave their products on their stands during the night at their own risk. 

Sharing a stand with another company

An exhibitor stand can be shared with another company when requested, with a separate permission from the organizer. All companies sharing are then treated as their own clients, they will have all the same benefits, rights and marketing as any other single exhibitor. The organizer's written permission to do this is always needed. Spaces under 6m2 can not be shared.

A sharing cost of 120€ + vat will be charged for each added, sharing company. Marketing another company in any shape or form (flyers, cards etc) without the organizer's consent is prohibited.

Show program

Exhibitors offering music or other performance or program services have an opportunity to perform at the event stage with agreement in advance. This is contingent on scheduling availability at the event's programming.

Musical acts are responsible for declaring the performance information to Teosto. The licencing goes automatically under Love me do's Teosto event licence. 

Stand build and rental furniture

Stand build and furniture orders are made using a separate form. You may find all the information concerning stand build and furniturel rental through the same link, including information on ready made stand build on island stands and all the possible rental options available.

All stand build bookings for Autumn Fair 4.10.2025 must be done by 5.9.2025. 
Once you have placed and order, please wait for our contact patiently - we  have timeto finalize the order even if the order deadline passes. A preliminary order needs to be in by the deadline date though.

Love me do offers following stand build; carpeting, wall panels, aluminum framing, lighting, brand materials and certain furniture.

The event's furniture partner is Pågå, they supple tables, chairs, etc. other loose furniture. All furniture should be ordered directly from Pågå by email myynti@paga.fi. A 30€ + vat delivery fee will be added. All products will be delivered directly to your stand at Kaapelitehdas and taken away after the show. Pågå does not supply carpeting, stand build elements or other items that should be ordered through the organizer.

Autumn Fair 4.10.2025 furniture orders from Pågå should be made by 22.9.2025.

You may not use any other builders for stand build, other than Love me do's partners, without prior agreement with the organizer.

Bringing your own furnishments is naturally allowed. All rented stand build (walls, framing, lights, carpeting) should be ordered through Love me do. Rental furnishments, like chairs and tables we do not offer should be ordered through Pågå.
Due to smooth building all rental carpeting needs to be ordered through Love me do.


Lighting: Merikaapelihalli is using general lighting by fluorescent tube lights, which are situated 14 m high in the main space and 6 m high in the side spaces. As such the general lighting is not great and we recommend either booking spotlights or bringing your own floor lamps or other lighting.

We also offer branding materials; wall taping, signs, banners and branded fabrics. Please inquire for a quote myynti@lovemedo.fi.

Storage room at the show

Kaapelitehdas has very limited amount of room for any extra stuff that needs to be stored somewhere during the event. For this reason, all pallets and transportation containers must be taken away or camouflaged as part of the exhibition stand during the show.

Unfortunately, we have no space to store exhibitor coats at the general cloak room for visitors. 

Table setting competition

There will be inspirational table settings on display at the event. Exhibitors can take part with their products or skills and design a table setting by themselves or with another exhibitor. Wedding fair visitors will vote their favourites and the results will be announced after the event. Competitors enroll to this competition in advance and participants will be chosen in order of enrollment.

Exhibitors are solely responsible for setting the table, only thing provided by the organizer is the table itself. Participants may bring petite chairs to complement the table setting if they so wish. Table settings can be produced by one company or by two companies together.

You may not advertise any other company not officially participating at the table without organizers consent. For example you may have your partner company's flowers at the table but you may not mention this company at the table without prior agreement with the organizer.

Participating to the table setting competition costs the event's exhibitors 60€ + vat. If the exhibitor wishes to partner with an outside company (not exhibiting) to produce the table setting, an added 100€ + vat will be added and the total participation cost comes to 160€ + vat.

Participating without exhibiting at the event costs 190€ + vat. Two companies producing the table setting together as non-exhibitors costs 250€ + vat.

Event exhibitors have right of way on booking the tables.
Participating fee includes a table, spotlight and framing of the area, competitor is also named in event prints and on social media after the show.

Size of the table is 183 x 75 cm, a tablecloth or other cover is needed. Please enroll for this competition by filling out the form here or contacting us myynti@lovemedo.fi.

Tastings and serving food & drink

You may sell any products or services fitting in the genre of the event freely during opening hours. If any food is sold or offered for tasting the exhibitor has to make a notice of it to the correct authorities and bring a copy of it to the event. More information can be found on Helsinki city's site.

This is excluding any whole sale companies, for example bridal labels, no direct sales to B2C customers is allowed by B2B companies.

Alcohol products can be sold and/or offered for tasting only with a written permission from the organizer acquired in advance.

Trash

The organizer has a few larger trash bins on site, but since we can not use the facility's bigger waste containers, each exhibitor should take any larger trash amounts with them. This includes any trash coming from building, dismantling and cleaning after the event is over.


Please note! Any pallets left at the hall will be recycled by the expence of the exhibitor.

If the organizer has supplied a separate waste skip outside, exhibitors will be notified separately.

Vendor passes for exhibitors

Everyone in the space must have their vendor passes visible at all times, including opening hours, building and dismantling. 

Please note that personnel present only while building and/or dismantling must also have vendor passes visible. Vendor passes are given out for exhibitor tickets during building day and on Saturday morning prior to the show opening.

A vendor pass is a Love me do card hanging on a lanyard, branded to a specific show. Our ticketing partner Biletti automatically sends each exhibitor company a pre-decided number of exhibitor tickets (amounts below) by email prior to the show- the exhibitor tickets are then exchanged to vendor passes when you arrive to the show. Each exhibitor representative must have their own ticket to receive a vendor pass. Tickets or passes need not to be named.

PLEASE NOTE! The exhibitor tickets are sent automatically to the primary contact person's email. If you did not receive a ticket, please contact this person at your company.

It is possible to purchase more exhibitor tickets if your company has more personnel at the show, or if the personnel changes during the show. Extra tickets cost 7€/pc + Biletti's handling fee. Wifi

Exhibitors may use a closed wifi in Merikaapelihalli;
merikaapeli-PROMO, password: haukijuoksee

An open wifi is offered for visitors.
